Administrative Positions

Marquee depends on the generosity and committment of our volunteers. We rely on a dedicated corps of volunteers for the various programs we offer. Each position has specific requirements and responsibilities - but each and every position requires the following:

 

  • All volunteers and staff are required to pass a background check. No exceptions

  • Volunteers must participate in Marquee’s basic volunteer training

  • Excellent work ethic and strong people skills

  • Well-organized and able to function independently

  • Must be a team player

  • Must treat all guests and staff with courtesy and respect

  • Perform assignments effectively

  • Report for duty promptly

  • Notify their supervisor when unable to report

  • Participate in training and accept supervision

  • Provide constructive feedback

  • Maintain confidentiality

  • Observe the organization's guidelines

  • Give adequate notice of job resignation.

The volunteer coordinator provides professional staff support to MAPA volunteers, and is responsible for volunteer supervision and coordination of activities. As the coordinator, you are the link between Marquees’ leadership, volunteers, and administration. You are the volunteers’ go-to person for questions, guidance or assistance, and you are the staff’s contact for recruiting and training volunteers.

Primary Responsabilities

• Developing volunteer position descriptions

• Community outreach to find volunteers

• Screening (interviews, required background checks, etc.) and matching volunteers to organizational needs and opportunities

• Training and orientation for volunteers

• Scheduling and supervision of volunteers

• Volunteer recognition

• Responsible for oversight and management of the volunteer program, including:

• Assessing organizational need and capacity for volunteers

• Creating volunteer program materials (policies and procedures, applications, volunteer agreements, orientation handbooks

• Database management and tracking of volunteer statistics

• Risk management

• Strategic planning

• Financial management and budgeting

• Program evaluation

Skills Required

• Ability to work diverse populations (volunteers, staff, board members, community members, etc),

• Cultural sensitivity

• Good listening and good communications (written and oral) are vital. Strong judge of character

• Leadership experience

• Ability to multi-task

• Detail-oriented and organized

• Ability to work both independently and as a member of a larger staff team

• Familiar with diverse technologies and software

• Ability to connect with diverse types of organizations: schools, businesses, government, faith organizations, etc.

Administrative Support

​Overview

Perform a wide range of administrative and office support activities for the department and/or managers and supervisors to facilitate the efficient operation of the organization. Duties may include fielding telephone calls, receiving and directing visitors, word processing, filing, faxing, scanning and emailing. Extensive software skills are required, as well as Internet research abilities and strong communication skills.

Skills Required

• Knowledge of Microsoft Office
• Excellent written and verbal communication skills,
• Strong interpersonal and organizational skills,
• Ability to manage and complete a variety of tasks.
• Bi-Lingual desired

Reception Area Coordinator

​Overview

Primary Responsabilities

To support our organization by staffing the front desk and greeting visitors.  Receptionists greet and welcome MAPA students, guests and visitors and work in conjunction with the staff to enforce rules. They also provide general information about the school.
 

- Greet and direct office visitors

- Manage multi-line phone system

- Accept deliveries

- Possibly assist with mailings (folding letters, stuffing envelopes, etc.) or other office tasks

- Pickup/drop off, sort and deliver mail

Skills Required

- Friendly and helpful personality

- Good communication and customer service skills

- Outgoing personality and exceptional phone manner.

- Ability to work independently

- Ability to work well in a in a busy environment.

- Professional manner and attire

- Dependability a must; friendliness and responsiveness essential

- Reliable, responsible and punctual

- Organizational skills.

Office Volunteers (5)

​Overview

General office support. Assist the Administrative Staff to create a pleasant work environment and help staff work more efficiently.

Primary Responsabilities

- Friendly and helpful personality

- Perform a variety of clerical tasks

- Greeting visitors

- Light phone

- Special event support.

- Assist in various Mailings; folding, stuffing, sealing, labeling and stamping brochures, letters, fliers, etc.

- Data Entry

Skills Required

- Basic computer skills desired but not mandatory
- Positive attitude and dependability
- Professional manner and attire

Skills Required
Translators
​Overview

Provide simultaneous foreign language translation from both oral and written sources, especially Spanish

- Friendly and helpful personality

- Fluency in both English and a foreign language, oral and written.

Floaters

​Overview

Available to help with last minute needs, runs to the store, filling in for another

volunteer, generally lending a hand as necessary.

Skills Required

- Valid California Drivers License
- Positive attitude and dependability
- Professional manner and attire

IT Specialist
Overview

 Assists staff and volunteers with computer issues, instillation and routine maintenance.

Skills Required

- Must be current with contemporary software, systems and platforms

- Must have professional experience.

- References required

Ensure that the classroom is ready and materials/instruments needed are present for the class.  During classes, monitor halls, to make sure children aren’t leaving their designated areas, and if they do, escort them to the area they need to go to, to ensure their safe return to their class.
